Introduction

A RAID item is a Risk, Assumption, Issue or Dependency. The RAID Items dashboard provides a view of all open RAID items for a project.

In Horizon PPM we define these RAID items as

  • A Risk is something that could happen in the future that will change an expected outcome. This could be either a good or bad change.
  • An Issue is something that has happened and has had an impact on an outcome. Again, this could be either a good or bad change.
  • An Assumption is something that has not (yet) been confirmed. It's common practice to have record a Risk for every Assumption.
  • A Dependency is something that is dependent on something else. Some of these dependencies may be internal to the project and within the project teams control. Other dependencies may be external to the project with no or limited opportunity for the project team to influence it's time, cost or outcome. It's common practice to have record a Risk for every external Dependency.

Some example RAID items have been added to the example project.

To manage RAID Items the following dimensions are applied.

  • Probability. The probability of a risk, assumption or dependency being realised. (Not applicable to an issue as by definition this has happened).
  • Urgency. An indication of the urgency that should be applied to a given RAID item.
  • Impact. An indication of the impact a RAID item could or has had on project outcomes [Details of this should be outlined in the Impact Assessment field].
  • Complexity. An indication of the complexity associated with managing, avoiding or reducing a given RAID item. [Details of this should be outlined in the Mitigation field].
  • Scale. An indication of the scale of effort associated with managing, avoiding or reducing a given RAID item. [Details of this should be outlined in the Mitigation field].

Each dimension can be tracked on a 5 level scale - Very low; Low, Medium; High; Very High.

These values are used as the coordinates in the Priorities Map and Priorities Table.

Accessing the RAID Log

A counter of open RAID items is on the Project Home. Clicking the counter navigates to the Events Dashboard.

Navigation

The RAID Log is also accessible from the left-hand side navigation bar...

RAID Log & Escalations

This page has two tabs allowing a user to toggle between RAID Log and Escalations

The RAID Log

The RAID Log provides a table of all RAID items with a number of options for tailoring the view.

Viewing/Managing a RAID item

Select any RAID item to enter the editor...

Selecting a RAID item opens a form which can be updated...

These form fields are...

  • Status. HORIZON PPM provides the following options to track the overall status of an event ...
    • Open
    • On Hold
    • Closed - Cancelled
    • Closed - Complete

Note: All new events have a default status of Open.

  • [Title]. The title of the RAID item. The label is dynamic and will be change to be Risk, Assumption, Issue or Dependency as apppropiate.
  • Date Raised. The date the RAID item was first raised. (Sometimes RAID items are recorded retrospectively. The history  log also tracks the immutable date the RAID item was created).
  • Raised By. Tracking the person that asked for the RAID item to be raised - potentially on behalf of someone else.
  • Assigned To. The owner of the RAID item responsible for its progression and completion..
  • AI Scores: These scores appear in the Project Priorities views that provide clarity to project teams in their prioritisation of the work.
    • Probability. An indication of risk materialising. This dimesion only appears on Risk records.
    • Urgency. An indication of the urgency associated with completing the RAID item. This is a time based metric.
    • Scale. An indication of the scale and effort involved in managing the RAID item.
    • Impact. The material impact the RAID item coukld or is having - typically in support of the project business case.
    • Complexity. An indication of the relative ease or complexity involved in managing the RAID item.

Note: All are scored from Very Low to Very High. The default for all AI Scores is Medium.

  • Target date. The target date for completing the RAID item.
  • Impact Assessment. A description of the impact if a RAID item is materialised.
  • Mitigation. What actions are to be taken to avoid, reduce or remove a RAID item.
  • Comments. Comments relating to the RAID item. This may include specific timings, locations or other details.
  • Tags. An optional field to add tags to a RAID item. To add a tag type the word or words and press the return key (this may be a go button or similar in the virtual keyboard on a mobile device). The system then highlights the new tag in blue but doesn't submit the form allowing additional tags to be added.

Note: Tags are a powerful feature allowing easy identification and access to common items across the projects and portfolios. See the Tag Search page for more details.

  • Closed Date. The date/time this RAID item was closed.
  • Last Updated. An automatically updated field displaying the last date/time this event was updated

Adding a new RAID item

To add a new RAID item select the Add button at the top right of the table.

The button initially displays a dropdown list of the different RAID types which can be selected to open the correct RAID form.

The new RAID item opens the same form as described in Viewing/Managing an RAID item. See above for details. Once the form is submitted and the new RAID item is created and the user will be redirected back to the RAID Log with the table refreshed to display the new RAID item.

Deleting a RAID item

To delete a RAID item enter the specific action (see Viewing/Managing an RAID item above) and then select the Delete button at the bottom left of the form.

HOIZON PPM will prompt for confirmation of the deletion before proceeding.

[The RAID type - in this example Risk - will be updated accordingly]

Once the user confirms the deletion by selecting OK to proceed HORIZON PPM will provide confirmation of the RAID item then return the user to the RAID Log
