Most projects involve others. They maybe customers, clients, suppliers, partners, colleagues, specialists or anyone that is interested, impacted or contributing to the project. HORIZON PPM provides two ways to work with others...



Tip: Non-User Resources can be converted to fully fledged users at a later stage if required.
 

Inviting other Users

You invite others to join from the Project Team page.



There is a simple form to complete for each invitation



The form fields are...

  • Full Name. Users often work with multiple people at the same time and it is advised that both a forename and surname are entered. 
  • Role Description. This is the users role within this specific project and should not be confused with their actual job title. For example the CEO of an external company maybe your Technical Architect or your Program Director maybe in the role of Project Assurance.
  • Access Level. Users can be assigned one of two access levels...
    • Participant - Participants can create new items; update items assigned to them; assign items to others; and delete items assigned to them. They can also view all other elements in the project. This is the default role for all new users.
    • Guest - Guests can view all elements within the project regardless of who they are assigned to but cannot change anything.

Note: Only the project manager can view and update the PM Scratchpad.

  • Email. The user's email address. This email address must be the one used to login to HORIZON PPM.
  • Welcome Message. This is an optional field which will be included in the invitation emailed to the user.


Once the form is complete and submitted the system checks to see if an account has already been registered for this email address.


If the email address has not already been registered for an account an email is sent to the user inviting them to register on HORIZON PPM and join the project.



If the email address has already been registered for an account an email is sent to the user inviting them to login to HORIZON PPM and start collaborating on the project.

The status of pending invites and ongoing management of users is done via the Project Team page.

Existing users invited to projects will also get a Notification within HORIZON PPM.


Opening the notification provides an option to accept or decline the invitation.




If the User accepts the invitation the page will reload, a toaster pop-up will appear to confirm it has been accepted and the project will be available within their projects list.


If the User declines the invitation the page will reload, a toaster pop-up will appear to confirm it has been declined and the project will continue to be unavailable within their projects list.
